Senior Property Administrator
We’re looking for a Senior Property Administrator, Operations to drive a number of administrative property functions including reporting, tenant communication, vendor tracking and management, and office administration.
RESPONSIBILITIES
Reporting
- Coordinate and complete requests to tenants for the gathering of information, including but not limited to tenant specific operations, operating hours, contact information, insurance certificates, sales reports etc.
Administrative Support
- Preparation of correspondence, Tenant Advisories and memos as required and requested
- Assist with any reporting requirements and delivery of reports
- Maintain property tenant manuals and ensure up to date. Delivery to tenants as required
- Assist with tenant welcome packages as necessary
- Maintenance of site information including, but not limited to, contact lists, contract matrixes, sales reporting etc.
- Administer the purchase order system and contract administration, including development of an annual contract summary to ensure renewals are in place before expiry
- Set-up and monitor the Contractor/Vendor supplier lists in the vendor maintenance program
- Ensure proper file management and archive of files for tenants, properties and others
- Assist with ensuring proper supplies and servicing for the Site office
- Assist with training of temporary and new staff as required
- Assist with office and property promotions and marketing, as required
- Work closely with the operations team to assist in coordinating all aspects of tenant or landlord construction & capital projects with respect to the smooth flow of information between teams to ensure seamless access for deliveries, loading bay bookings for contractors and tenants alike.
Tenant Communications
- Liaison with tenants and suppliers; respond quickly to inquiries and disputes regarding invoices; maintaining a strong focus on good customer service
- Preparation and delivery of tenant communications, as required
- Other duties assigned
QUALIFICATIONS
- 5+ years of experience in property administration
- Strong writing skills is an asset
- Related post-secondary education is an asset
- Are proficient in both MS Offices applications and property management systems. Yardi experience is an asset
