About the Role
The Regional Administrative Assistant is a community level resource who will play a role in which they will work with the AIMC Committee councils, regional manager, regional councillor to help engage citizens. They will also ensure the efficient day-to-day operations of the Abitibi Inland Métis Community services through a variety of typically routine tasks and communications. This role utilizes constant communication skills in-person, over the pone and via e-mail and follow prescribed processes with a minimal level of independent decision-making authority.
This position will build and expand upon community relationships and citizenship engagement.
What you will be doing
- Answer and respond to communications (phone calls, e-mails, etc.) from internal and external sources
- Co-ordinate the flow of internal information
- Prepare, edit, proofread and maintain records, correspondence, presentations, etc
- Maintain information filing systems
- Take minutes and prepare for distribution to all involved
- Process citizens travel request forms, special request form, etc and update tracking systems
- Update regional website
- Submit volunteer expenses into databasic and update tracking systems
- Develop survey and information gathering in regards to citizens needs
- Contribute to the development and review of work plans in regards to citizens involvement.
- Prepare, edit, proofread and maintain records, correspondence, presentations, etc.
- Provide logistic and administrative assistance with scheduling and organizing MNO Community Council and Regional cultural events and gatherings
- Provide support for community information gathering activities
- Provide administrative, logistical and research support as required for AIMC Community planning and activities
- Produce briefing notes and other reports as required
- Maintain a high-level of confidentiality
- Other reasonable duties as may be assigned
Qualifications
- Strong desire to act in the service of the Métis Citizens, to advance and uphold rights and culture
- Relevant background in Métis-focused community activities, recreation and educational programs
- Knowledge of Métis focused and broader Indigenous programs and services
- Well-developed administrative, organizational and communication skills in order to meet deadlines
- Proficiency with computer programs and written communication skills
- Advanced communications skills
- Superior organization skills and time/priority-management
- Ability to work alone/independently with minimal supervision
- Flexible work schedule with ability to work extended hours or week-ends as necessary
- Willingness and ability to travel
- Vulnerable sector check
- Preference will be given to an MNO Citizen
- Must live in the MNO Region 3 communities
- Must be bilingual ( French/French Michif and English)
- Administrative, Business or customer service experience
Preferred
- Post-secondary education promotion and/or social services and/or business, administration or other related field
- Preferred and/or experience in providing development of programs and services in an indigenous setting
- High School Diploma and knowledge of our Métis community
- 1-2 years previous experience in a similar/comparable role
