The Opportunity
We are seeking a highly skilled and organized individual to fill the position of Executive Assistant 1 for our Vice President and their leadership team. The successful candidate will play a pivotal role in providing advanced administrative support, ensuring effective office administration, and coordinating various projects within the department.
This is a hybrid role with requirements to be on site 3 days a week, providing a balance between remote flexibility and in-person collaboration.
About The Role:
Calendar Management:
- Efficiently manage the VP's calendar, scheduling meetings and visits with internal and external resources.
- Ensure the VP's time is optimized with no scheduling conflicts.
Representative Role:
- Act as a representative of the VP by efficiently managing their calendar and handling all communication with professionalism and confidentiality.
Meeting Support:
- Arrange appointments, attend meetings at the VP's request, and prepare and distribute meeting minutes.
- Prepare materials for meetings and handle sensitive material for executives.
Travel and Event Coordination:
- Arrange travel and accommodation, reconcile expenses, and organize group meetings, team events, and business conferences.
- Manage booking, catering, materials, and logistics for group meetings and events.
Administrative Support:
- Maintain organizational charts and email lists, handle new employee setups, and gather information for organizational charts and company guidelines.
- Create and maintain office files and databases, handle routine HR administration, and assist other executives when required.
Other Duties:
- Perform other duties as required to contribute to the efficient functioning of the department.
What You Need To Succeed:
Education:
- College or University Degree or equivalent work experience.
Experience:
- 3-5 years of professional office experience supporting senior leaders and executives.
- Experience in managing Outlook calendars on a daily basis.
Skills:
- Highly developed communication skills (written/verbal) and interpersonal savvy.
- Strong initiative, judgment, and decision-making skills.
- Exceptional accuracy and attention to detail in a fast-paced environment.
- Tact, integrity, diplomacy, and confidentiality.
- Ability to work independently, manage changing priorities, and collaborate across departments.
- Superior computer skills (MS Office, MS Project, MS PowerPoint, MS Excel, SharePoint, Visio, Lotus Notes) with strong analysis skills.
- Ability to navigate within varying degrees of ambiguity.
- Outstanding customer relations skills.
