The Role

The Senior Manager, Clinic Planning, will play a pivotal role in supporting and enhancing communication, workload planning, and information flow between Support Office and our clinics. This individual will manage the internal clinic communications process, oversee the Central Services calendar for task and initiative timing, and establish a streamlined approach for delivering materials and resources to field teams. The role is responsible for developing efficient systems for the format and distribution of information, including communications, standard operating procedures, policies, and program guides, ensuring clarity, consistency, and alignment with organizational standards.

 

Responsibilities

Internal Clinic Communications:

  • Develop and manage internal communication strategies for effective and consistent information flow to clinic teams. Coordinate messaging and communication release schedules to minimize overlap and optimize the clarity and impact of each communication.

Workload Planning

  • Oversee the workload planning process, utilizing the “air traffic control” calendar to align timing for initiatives, policies, and other tasks across clinics. Ensure effective planning to avoid conflicts and optimize execution.

Information Cascade to Field Leadership:

  • Act as a liaison between Central Services and field leadership teams, ensuring key information is accurately and efficiently cascaded to support local execution.

Content and Resource Management:

  • Standardize and maintain the format and presentation of materials distributed to clinics, including communications, standard operating procedures (SOPs), policy documents, and program guides. Ensure all resources meet high standards of clarity, consistency, and relevance.

Policy and Procedure Updates:

  • Collaborate with cross-functional teams to coordinate updates to policies, SOPs, and program materials. Ensuring timely distribution and alignment.

 

Qualifications

  • Bachelor's degree in communications, Business Administration, Operations, or a related field.
  • 5+ years of experience in communications, project management, or operational planning, preferably within a multi-site environment.
  • Proven track record of managing complex communications and workload planning in a fast-paced, multi-functional environment.
  • Strong organizational skills, with an ability to manage multiple projects and timelines effectively.
  • Excellent written and verbal communication skills, with an eye for detail and a focus on clarity and impact.
  • Demonstrated ability to work collaboratively and build strong relationships with cross-functional teams.
