Operations Manager

We have an exciting opportunity for an Operations Manager to oversee our GTA suburban portfolio. As an Operations Manager, you will be responsible for ensuring that our Industrial, Retail and Commercial buildings are presented and operated according to the best possible standards alongside the Property Manager. To be successful, your vision should not only be focused on the day-to-day operations of the properties but also the long-term potential and profitability of the portfolio.
We will count on you to establish and maintain strong relationships with tenants, staff and contractors to ensure satisfaction by all. You will also assist with the implementation of new programs and ensuring policies and procedures are followed.
You will be accountable to the Property Managers and report to the Senior Property Manager.
RESPONSIBILITIES
Operations Management
- Within the limits of applicable policies, procedures and established plans, the Operations Manager has the responsibility and the authority to make decisions and take action.
- Ensure routine inspections of all buildings are carried out keeping the Operations Manager informed regarding discrepancies and remedies.
- Responsible and accountable for the staff’s daily activities, which includes the repair, maintenance and replacement of the building’s major components and related systems.
- Develop, administer and follow-up on preventive maintenance programs for all equipment and the buildings in general (Angus Preventive Maintenance).
- Ensure life safety and risk management programs are implemented and maintained current, such as Risk Check, WPS.
- Liaise with tenants regularly to ensure complete tenant satisfaction and ensure that tenant concerns are promptly addressed.
- Provide monthly reports on base building operations to the Property Managers in a timely fashion.
- Assist with preparing an annual budget within time constraints and in conjunction with the Property Manager. Responsible for the administration of the approved operating budget.
- Establish service contracts specifications, prepare tenders based on the policies and procedures established, make recommendations, obtain Property Manager’s approval, and follow up on their execution and performance.
- Collaborate with management to ensure properties’ life safety and risk management programs are implemented, kept current and comply with the myCority risk compliance program.
- Collaborate with Property Managers and/or Technical Services Manager in ensuring capital projects are completed on time and on budget and providing feedback on capital planning related to operations systems.
- Ensure all applicable code and/or regulatory testing and inspections are completed as required and documented.
- Design and implement long-term sustainable strategies that align with corporate goals.
- Perform other duties and tasks as assigned.
People Leadership
- Manage a team of operations staff including, but not limited to, scheduling, performance management and operational trouble shooting.
- Ensure documented daily inspections of required property service areas are carried out.
- Implement and manage procedures for the efficient and consistent maintenance, operation and repairs of buildings and equipment.
Budgeting + Reporting
- Partner with management to prepare annual operating and capital budgets for a variety of properties.
- Prepare monthly variance, property, and activity reports.
- Procure efficiencies and deliverables respecting contracted services.
Health + Safety
- Ensure maintenance of site-specific WHMIS and national health and safety programs.
- Daily review of all completed service requests to ensure KPIs are consistently met and delivered.
- Collaborate with management to ensure properties are compliant with national and myCority programs.
- Advise and update team with policy and procedure updates as required.
QUALIFICATIONS
- 5+ years of industrial/retail/ commercial suburban building operations experience.
- 3+ years of team supervision experience.
- Post-secondary education in Engineering, Building Sciences, BOMI Designations (SMA/SMT and/or Trades training (BES Class 1 and 2).
- A designation in facility management or project management would be an asset.
- Solid contract management and computer skills (Outlook, Excel, Word, Office 365, Yardi, Angus).
- Knowledge of BOMA BEST or LEED standards, with a strong forward-thinking energy and environmental focus.
- Proven ability to manage and adapt to change.
- Excellent interpersonal and relationship building skills able to interact confidently with various internal and external stakeholders and tenants.
- Strong leadership and communication skills with a dedication to continuous improvement and positive demeanor in a hands-on, team-oriented work environment.
- Experience completing reports and budgets focused on decreasing repair costs and increasing energy management initiatives.
