The Opportunity
To manage a portfolio of loans to the highest industry standard with team members ensuring all the terms of the commitment letter (including all supporting agreements) are performed by the borrower to the benefit of our investors and also responding to any reasonable borrower requests that are consistent with the terms of the commitment or are approved by the investor. This role has future potential development.
How you will contribute:
- Prepare and mail discharge documents for all mortgages once they have been paid off. Ensure solicitors are provided with appropriate documentation to officially discharge the mortgage in a timely manner.
- Follow up on and receive final reporting by working with solicitors to obtain reporting binders and all details relevant to the commitment pertaining to legal documents. Ensure mortgage security is valid and legally binding, and supporting documents are provided in a timely manner by solicitors. Knowledge of relevant mortgage documentation is required.
- Handle PPSA (Personal Property Security Act) renewals by renewing the registration of security interests in personal property in a timely manner.
- Prepare and send out interest billing letters to borrowers, detailing the interest charges on their loans accurately and in a timely manner.
- Manage the suspense report by tracking and managing payments that have been received but not yet applied to specific accounts. Review for discrepancies and resolve them in a timely manner.
- Handle daily incoming mail as well as information and annual statements
- Follow up on borrowers who pay their own property taxes by ensuring documentation has been received and validated to reduce risk in a timely manner.
- Knowledge of Mortgage Products and functions within Mortgage Servicing that includes but not limited to; document management, payment processing, statements, holdbacks/reserves, insurance and annual financial reviews.
- Working knowledge of commercial lending, underwriting and understanding core documents.
- Adherence to policy and procedures, service levels and compliance.
- Respond to inquiries from borrowers and investors as per servicing and policy standards.
- Effectively interface with borrowers, consultants and investors and solicitors.
- Excellent time management skills and ability to maintain and handle high volumes.
- Recommend and provide process improvements to build efficiencies.
- Organizational and problem-solving skills in solving issues and to meet service standards
- Ability to prioritize and multi-task.
- Participation in training sessions as required
- Complete special projects as assigned by management.
The experience you need:
- Post secondary education and/or equivalent work experience preferred
- 2-3 years of experience in Financial Services, Mortgages, preferably in commercial mortgages
- Bachelor’s Degree in Business Administration, Commerce or related required
- Advanced MS Office skills with emphasis on Word and Excel
- Strong communication skills, written and verbal including confident and assertive telephone manner
- Demonstrated ability to work independently and in a team environment
- Strong analytical personality
- Strong communication skills, verbal & written, with experience in providing excellent customer service
- Team player with ability to perform extra duties as assigned
Working Environment and Physical Demands Analysis:

- Periods of high volume with tight timelines
- Long periods of stationary position/sitting
- Prolonged periods of repetitive movement (i.e. using a keyboard and mouse)
- Long periods of time in viewing a computer screen
