Facilities and Equipment Coordinator

This allows the medical team to focus on practicing first-rate medicine, and allows the clinic’s staff, clients, and patients to benefit from experienced business operators and managers.
Reporting to the Sr. Manager Facilities and Maintenance, the Facilities and Equipment Coordinator is responsible for intake, coordination and dispatch for all hospital maintenance, facility and equipment related requests and concerns.
Responsibilities:

Coordinate clinic repair requests, oversee vendors for all facilities and equipment related concerns.

Provide estimates and alternatives for hospital medical equipment requests.

Review new equipment business cases to ensure ROI on capital spend.

Oversee building and equipment maintenance schedules.

Oversee external contractors, vendor negotiations, schedules, contracts and invoicing.

Work with internal and external stakeholders to ensure clinic maintenance is approved and executed on time and on budget.

Maintain service ticketing and asset management systems.

Maintain and track service records on clinic assets.
-
Support Clinic restoration and insurance claims.

Oversee minor infrastructure improvements in collaboration with the Construction and Design team.

Provide project tracking and period updates to Senior Leadership.

Prepare Standard Operating Processes and presentations

Knowledge, Skills and Experience:
-
3-5 years' experience in Vet-Medical / Commercial / Retail building maintenance.

Customer service and administration background.

Strong communication and organizational skills.

Education / experience with medical operations and equipment.

Experience implementing process and procedural improvements
-
Understanding of contracts, budgeting and invoicing

Ability to work independently and in a dynamic team environment.

Proficient with MS Excel, Word, PowerPoint, Outlook, and Project.

Bilingual in French and English (written and spoken) considered an asset

Comfortable being around pets when working at Home Office and clinics
