Position Summary
Reporting to the Director, Fund Development & Community Engagement, the Coordinator, Fund Development will be skilled in relationship management and stakeholder engagement with a focus on gift processing, stewardship, grant management, and administrative tasks as required. This position works collaboratively across the agency to ensure the DI’s donation revenue, gift-in-kind, and other resource-related goals are achieved and leveraged for maximum impact. The Coordinator will champion a culture of engagement and philanthropy at the DI so that everyone recognizes the importance of stewarding positive relationships. Ongoing evaluation for continuous improvement and demonstrated impact is key to success.
Time Commitment
40 hours per rotation with 5 days on and 2 days off. Some unusual hours may be required from time to time as the need arises. The schedule may be altered at the discretion of management.
Job Duties and Responsibilities
Gift Records Management
- Oversees donor database including all gift processing and donor communication, ensuring a high standard of data integrity.
- Collaborates with the Finance team to complete monthly reconciliation between Finance and Raiser’s Edge.
- Manages donor lists and reporting functions for internal groups.
- Liaises with finance to ensure they have timely, accurate information for forecasting, budgeting, and reporting.
- Engages and/or consults with appropriate internal and/or external resources to optimize the success of all work related to the pillar.
Resource Development
In collaboration with the Strategy, Impact & Engagement pillar, DI leadership, DI staff and appropriate partners, support the execution of the fund development strategy for all donors, prospective donors and potential fund development opportunities.
- Supports Annual Giving & Major Gifts portfolio documentation & reporting.
- Build and maintain sustainable systems, frameworks, and documentation for all fund development work including financial records in Raiser’s Edge.
- Supports research & prospecting for donor pipelines.
- Build and maintains sustainable relationships and documentation processes for all stakeholders, including partners, and supporters.
- Supports events activities with gift solicitation, event software and on-site duties.
- Manage Alberta Gaming (AGLC) portfolio (applications/reporting).
Grants Management
In collaboration with Contractor, Grants Management, Finance, DI leadership, DI staff and appropriate partners, support the grants management process.
- Provides support for grants management program.
- Supports financial reporting and documentation for granting portfolio.
Admin
- Manages stakeholder lists for stakeholder communication.
- Responsible for updating the DI profile and data related to 3rd party giving.
- Provides technical content writing support and administrative support for internal or external communications or marketing materials as required.
- Support general administration duties including mail processes.
- Support execution of the ongoing stewardship and recognition strategy as required.
- Supports process documentation as required.
Required Competencies and Qualifications
- Post-secondary education or diploma in a related field or commensurate experience
- At least three years’ experience in fund development/community engagement required
- Satisfactory Criminal Record and Vulnerable Sector Check – dated within the last 6 months. Copy required.
- Related experience and a proven record of success, preferably in complex non-profit environment
- Advanced level experience using Raiser’s Edge or other CRMs
- Proven skills and experience managing relationships
- Self-directed and action oriented
- Full knowledge of the Donor Bill of Rights and Fundraising Code of Ethics
- Energetic and self-directed, with effective time management and organizational skills including the ability to deal with multiple priorities at the same time
- Excellent communications skills, both verbal and written
- Proficient in Office365 and Microsoft Office Suite
- Eager to learn new systems and adopt improved best practices
- A genuine commitment to the mission, vision, values, and work of the agency.
Working Conditions
While your position does not normally consist of front-line work, it is important for us to tell you that front-line staff are exposed to emotionally disturbing events, such as: medical distress, threatened and/or actual serious injury, violence, abuse, and death; where clients may be experiencing fear, terror, hopelessness, rage, self-harm and conflict.
Although the DI is a smoke-free work environment, there may be occasional exposure to secondhand smoke from designated smoking areas nearby.
