General Responsibilities:
The Student Union supports a wide variety of clubs across all three campuses. As a Clubs Coordinator, you'll work with the leaders of each club to provide clubs with resources and opportunities along with engaging with the Sheridan Community to showcase the importance and value of being involved with clubs at Sheridan. You’ll be the primary contact for Club Presidents when it comes to club initiatives and student engagement and will report to the Assistant Manager of Clubs.
Specific Duties Include:
Club Management:
- Assess and approve all new campus club applications, as well as verify the annual renewal of previously existing campus clubs, granted that they meet the necessary requirements.
- Maintain a positive relationship with the College and various departments at Sheridan in relation to the clubs on campus.
- Ensure all members of SSU clubs act with due diligence in their operation as well as follow all Sheridan and SSU policies.
- Escalate any club policy violations or issues to club management for follow through and assist with action as need be.
- Encourage general club activities through providing additional resources and support for club initiatives.
- Act as the primary contact for Club Presidents for events, initiatives and club engagements and maintain consistent contact throughout the year.
- Organize and coordinate regular Club President Meetings for club executives.
- Attend club department meetings, as required, to work and collaborate with the other Club Coordinators to brainstorm ideas and improvements to processes as the needs of the clubs change.
- Attendance at retreats, conferences and events, as advised.
- Coordinate monthly meetings with each club on campus, as required, to find areas to support with any ongoing events and initiatives.
- Educate and advise the next incoming Club Coordinators on duties of the position by creating a transition/continuity package that highlights the year within the Clubs Department and prepare any other training materials that would be helpful.
- Other duties and projects as required, as assigned by club management.
Club Administration
- Responsible for the collection and organization of forms and data related to club events and initiative requests throughout the year.
- Work with the Club Department management and SSU Admin to discuss and manage grant and sponsorship requests for all clubs on campus.
- Assist clubs with both on and off-campus event coordination.
- Work with other SSU departments to ensure that all information in terms of large club events are communicated in an efficient and timely manner according to SSU timelines.
- Attend monthly calendar meetings to update the various departmental teams on any planned club initiatives.
Student Engagement
- Engage and encourage Sheridan students to create, maintain and join clubs – both social and academic.
- Organize, coordinate and run a campus Clubs Fair once each semester as well as other large department events as required.
- Work closely with the SSU events department to encourage collaborations between clubs and various other event initiatives.
- Organize table engagements and pop ups for clubs in our SSU student centre spaces to continuously provide access for clubs to engage with students.
- Work with the SSU marketing department to promote events and activities driven by the clubs department and student run clubs along with other SSU initiatives.
- Organize and run workshops regularly to engage with students in regards to the benefits of clubs on campus – how to start a club, general club resources, etc.
- Attend and oversee club-hosted events and initiatives regularly to show support and offer assistance to ensure they run smoothly, as assigned by club management.
- Attend SSU trainings and activities including New Student Orientation, Open House and SU 101.
Qualifications:
- A full or part time daytime student at Sheridan College with a GPA of at least 2.5
- Must be enrolled for the full 2025/2026 academic year.
- Must be a student at the campus at which the position is held.
- Not hold an academic co-op term for the 2025/2026 year.
