Position Summary
Reporting to Rocky View County’s (the County’s) Returning Officer, the Election Coordinator is responsible for assisting the Returning Officer with coordinating election activities in accordance with the Local Authorities Election Act, the County’s Election Bylaw, and leading practices.
The Election Coordinator is expected to already have, or be able to quickly gain, a strong understanding of municipal and school board election processes as provided for in the Local Authorities Election Act and the County’s Election Bylaw.
The Election Coordinator will coordinate election-related activities under the oversight of the Returning Officer for Rocky View County’s 2025 municipal election, including procuring voting station supplies, recruiting election workers, preparing training and informational materials, responding to inquiries, and keeping accurate records.
Core Accountabilities
Administrative
- Assist with developing and implementing project plans for specific aspects of the 2025 municipal election.
- Assist with the preparation of election communications and advertising.
- Coordinate the procurement and distribution of supplies to the County’s various voting stations, including ballots, ballot boxes, privacy screens, stationary, and signage.
- Coordinate the recruitment and assignment of election workers to the County’s various voting stations.
- Communicate and respond to inquiries on election rules and processes from the public and election workers, including voting station locations and identification requirements.
- Assist with coordinating candidate and scrutineer information sessions.
General
- Regularly liaise and communicate with all internal departments and external stakeholders for the 2025 municipal election, including building and maintaining effective relationships and coordinating internal and external resources.
- Protect the reputation of Rocky View County by acting with professionalism and responsibility and protect the integrity of the County’s municipal elections by making decisions in an independent and impartial manner.
- Display professionalism and responsibility in protecting the use of personal information and maintaining the confidentiality and security of all election information related to candidates, voters, employees, and the public.
- Work in accordance with Rocky View County’s health and safety program and the Occupational Health and Safety Act, regulations, and code, including taking reasonable care to protect the health and safety of other persons at or in the vicinity of the worksite while they are working.
- Keep accurate and extensive records on important actions, decisions, and responses made throughout the course of the 2025 municipal election, including on the performance and payroll of election workers.
- Assist the Returning Officer with doing all things necessary for conducting the 2025 municipal election.
Position Requirements
- Knowledge of basic office procedures and proficiency in basic office software, such as the Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and Adobe PDF.
- Previous experience working in the administration of elections is preferred, either at the federal, provincial or municipal level.
- Minimum high school education is preferred, with additional post-secondary education being considered an asset.
- Ability to organize, prioritize, and manage time productively and ability to work independently and collaboratively to complete tasks and meet deadlines.
- Ability to communicate effectively with both verbal and written communications.
- Demonstrated customer service and problem-solving skills and an approachable, outgoing, optimistic, and friendly demeanor.
- Demonstrated ability to remain impartial and non-partisan and to act with discretion in a politically sensitive environment.
- The Election Coordinator will need to be able to travel from time to time for their duties, including site visits to the County’s voting stations.
- The Election Coordinator is eligible for remote work in accordance with the County’s policies and procedures at the discretion of the Returning Officer.
