Role Overview
The Facilities & Expansion Manager is responsible for managing the physical infrastructure of our nine dermatology clinics across Canada. This role oversees all facility maintenance, repairs, and vendor relationships related to building operations, ensuring that each location remains safe, functional, and aligned with healthcare facility standards.
Additionally, this role plays a crucial part in our growth strategy, leading the planning, construction, and launch of new clinic locations. The Facilities & Expansion Manager will coordinate with leadership, landlords, contractors, and vendors to execute renovation and buildout projects efficiently, ensuring seamless facility expansion.
Unlike the Regional Operations Manager, this position does not oversee clinic office managers, patient experience, or business operations. Instead, it focuses exclusively on the physical environment of the clinics, ensuring optimal conditions for patient care and staff efficiency.
Role Objectives
The Facilities & Expansion Manager responsibilities include, but are not limited to:
Facility Operations & Maintenance
- Oversee all building maintenance, repairs, and infrastructure improvements across clinic locations.
- Develop and manage preventative maintenance programs for HVAC, plumbing, electrical, and other critical systems.
- Ensure compliance with building codes, healthcare facility regulations, and workplace safety standards.
- Work with external vendors and contractors to provide timely repairs and ensure quality service.
- Respond to urgent facility-related issues and implement solutions to minimize disruptions.
Contractor Management
- Select, negotiate, and manage contracts for facility services, including janitorial, security, HVAC, and general maintenance.
- Ensure contractors meet performance expectations and adhere to service level agreements.
- Identify opportunities for cost savings and efficiency improvements in facility management contracts.
Clinic Expansion & Construction Projects
- Assist in site selection, lease negotiations, and facility planning for new clinic locations.
- Oversee renovation and construction projects, ensuring they stay on time, within budget, and meet quality standards.
- Manage relationships with architects, engineers, and contractors to ensure clinic buildouts align with company needs.
- Work with regulatory agencies to secure permits, inspections, and approvals.
Budgeting & Cost Management
- Develop and manage facility maintenance and capital improvement budgets.
- Track and analyze expenses related to repairs, vendor services, and new clinic developments.
- Identify cost-saving opportunities in facility management without compromising quality or safety.
Emergency & Risk Management
- Establish emergency response plans for facility-related incidents, including power outages, equipment failures, and security threats.
- Ensure proper fire safety, security systems, and disaster recovery protocols are in place.
- Conduct periodic facility audits to identify risks and implement corrective actions.
Role Qualifications
- 5+ years of experience in multi-site facility management, construction, or healthcare facility operations.
- Proven track record in managing renovations, buildouts, and infrastructure projects.
- Experience overseeing vendor contracts, maintenance teams, and service providers.
- Strong knowledge of building systems, construction processes, and healthcare facility standards.
- Ability to manage multiple projects simultaneously and coordinate with various stakeholders.
- Budgeting and cost-control experience in facility operations and capital projects.
- Willingness to travel regularly to clinic locations and construction sites.
- Bachelor's degree in Facilities Management, Construction Management, Business, or a related field (preferred).
