Role Overview

The Sales & Patient Services Specialist serves as the first point of contact for prospective and existing patients, providing exceptional service and driving the booking of consultations and treatments across the Rejuvenation group of clinics. This role combines customer service, sales, and administrative support, working closely with the Team Lead to optimize lead handling and enhance patient satisfaction.

 

Role Objectives

Customer Service Excellence

  • Respond promptly to inbound calls, emails, text messages, and website inquiries with professionalism and empathy.
  • Provide accurate and detailed information about services, pricing, and procedures offered by the clinics.
  • Proactively address patient inquiries and concerns, redirecting escalations to the Manager when necessary.
  • Foster positive relationships with patients to enhance loyalty and satisfaction.

Lead Management and Sales Support

  • Convert inquiries into consultations through effective communication and follow-up.
  • Utilize scripts, templates, and protocols to ensure consistent and high-quality interactions.
  • Track patient interactions, follow-ups, and appointments using CRM systems.
  • Collaborate with the marketing team to implement newsletters, promotions, and reactivation campaigns targeting leads.

Administrative Support

  • Accurately input and update patient information in CRM systems, ensuring data integrity.
  • Schedule consultations and treatments, coordinating with clinic staff to manage calendars efficiently.
  • Follow up on outstanding quotes, ensuring patients receive timely and detailed responses.
  • Generate and maintain reports on lead status, appointments, and conversion rates.

Daily Stand-Up Meetings

  • Attend and actively participate in daily stand-up meetings designed to:
    • Review CRM updates and ensure accurate lead management.
    • Monitor the status of leads and prioritize follow-up actions.
    • Assess work progress and address any challenges faced by the team.
    • Confirm compliance with CRM protocols and organizational workflows.
    • Share insights, ideas, and updates to improve team efficiency and patient engagement.

Patient Experience and Engagement

  • Act as a liaison between patients and the clinics, ensuring smooth transitions from inquiry to consultation and post-treatment follow-up.
  • Maintain a high level of professionalism and empathy in all interactions, tailoring communication to individual patient needs.
  • Monitor patient satisfaction and recommend improvements to enhance the overall experience.

Training and Compliance

  • Attend regular training sessions to stay informed about services, policies, and system updates.
  • Adhere to compliance regulations (e.g., PIPA, PHIPA) and clinic policies.
  • Provide feedback to improve workflows and enhance team efficiency.

 

Role Qualifications

  • Previous experience in reception, customer service, sales, or a call center environment.
  • Familiarity with CRM platforms and call center systems is preferred.
  • Knowledge of healthcare, aesthetics, or hair restoration industries is an asset.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and related tools.
