Position Summary
The Accounting Support position performs general duties related to the following areas – accounts receivable, accounts payable and banking. The Accounting Support position prepares and processes financial information by entering and updating records into accounting systems, preparing vendor and petty cash payments and administering the tenant rents and donations. They are also responsible for reconciling bank accounts and balance sheet accounts and posting to general ledger accounts.

REPORTS TO: Accounting and Compliance Supervisor
SCHEDULE: Monday to Friday, 08:30am-05:00pm - flexibility with start and end times. Hybrid working environment - mix of working at home and office with a minimum of three (3) on-site days at the office per week.
A clear British Columbia Vulnerable Sector Criminal Record Check for working with vulnerable adults and/or children is a condition of employment with RainCity Housing. Applicants must be willing and able to receive a clearance under the Criminal Record Review Act.
Position Accountabilities
- Performs cash management functions such as receiving, recording and issuing receipts for payments, balancing cash transactions, preparing and making bank deposits, maintaining and balancing petty cash accounts, and reconciling bank accounts, including going to the bank.
- Administers the monthly rent invoicing and collections, including collating monthly tenant lists from program Managers, issuing refunds, assisting Accounting and Compliance Supervisor with managing the rent arrears and inputting data into funder housing database
- Performs monthly billing procedures for funding partners, employees, tenants, peers, or services rendered by gathering customer and service information, generating invoices using the accounting system, sending it to the customer and tracking and applying payments
- Assists Accounting and Compliance Supervisor in processing donation revenue, preparing donation spending payments and inputting data on monthly donation reconciliation sheet
- Assists Accounting and Compliance Supervisor in processing monthly rent supplement payments, ensures timely distribution of payments to landlords, in liaison with program managers
- Under the supervision of the Accounting and Compliance Supervisor, as part of the team that administers the accounts payable system – this includes inputting invoices, generating and distributing payments (cheques, EFTs and online), managing the filing associated with AP, identifying and investigating overdue accounts, taking appropriate corrective action, and managing communications with staff and vendors. The invoice type includes, but not limited to, vendor invoices, peer requests, expenses reimbursements, visa card reconciliation, cross-program invoices, etc.
- Assists Payroll Manager in processing payments of health and other staff benefits and issuing manual pay cheques as required
- Maintains records, gathers and compiles information using Excel spreadsheets, reports on findings
- Ensures that department standards for accuracy and timeliness are maintained
- Performs administrative support duties such as sorting and distributing mail, filing, and management of year-end document archiving
- Answers inquiries by telephone, email or in person, providing routine information and assistance
- Performs other related duties, as assigned
QUALIFICATIONS
- A diploma in accounting and/or CPA student
- A minimum of 4 years of recent, related experience
- Non-profit experience preferred
- Proficiency in Microsoft 365 Business Central, Sage 300/Accpac and Excel
- An equivalent combination of education, training and experience will be considered
- Ability to understand, communicate and support the mission and values of RainCity Housing, and the models/methods of supporting clients including the principles of Housing First and Harm Reduction
