About Musqueam

We are traditional hən̓q̓əmin̓əm̓ speaking people. Today, we are a strong, growing community of over 1,300 members. We live on a small portion of our traditional territory, known as the Musqueam Indian Reserve, located south of Marine Drive near the mouth of the Fraser River. The name Musqueam relates back to the River Plant, the name of the plant is məθkʷəy̓. There is a story that has been passed on from generation to generation that explains how we became known as the xʷməθkʷəy̓əm (Musqueam) - People of the River Plant. We have always moved throughout our territory using the resources it provides for fishing, hunting, trapping and gathering. We remain distinct and our cultural practices are strong, despite the devastating impacts of residential schools, colonial laws banning our ceremonies, and other attempts to assimilate our people. Our lands and waters continue to support our cultural and economic practices while serving as a source of knowledge and memory, encoded with our teachings and laws. Position Summary:

 

Reporting to the Manager, Health and under day-to-day supervision of the Nurse Practitioner or General Practitioner, the Medical Office Assistant provides clinic reception, administration and assistance to community members, clients and staff of the clinic through software applications and standard medical office techniques.   As a newly created position, initial duties will involve establishing best practice medical office procedures, policies and processes.

 

This is a casual part time position. 

 

 

Roles & Responsibilities

 

Clinic Policies and Administrative Operating Procedures

  • Establish medical office administrative procedures and policies, working with MIB’s Policy Writer
  • Seek approval of final manual from Health Program Lead
  • Support and facilitate implementation of the approved procedures in the clinic including training any associated Physicians, Nurse Practitioners (NP) and Musqueam Indian Band (MIB) staff
  • Monitor implementation and support continual alignment and improvement within the clinic and Health Department
  • Coordinate procurement of medical supplies and equipment for the clinic within the procurement policies of Musqueam Indian Band

Patient Charts

  • Develop process and files to create MIB patient charts – documentation and processes
  • Prepare Musqueam for patient charting procedures to approved processes and best practice standards for patient documentation
  • Develop Day Sheet for Physician(s) and NP(s) in the clinic and ensure successful operation of scheduling of patient appointments
  • Make clinic appointments for community members
  • Support the Physician / NP with lab requests and other requisitions for patients

Electronic Medical Record (EMR) Transition

  • Participate in training of new EMRs and support implementation of the EMR in the clinic
  • Participate in implementing patient charting in the new EMR
  • Ensure all practitioners in the clinic are documenting in the EMR correctly
  • Participate in the First Nations / Aboriginal User Group(s) for the EMR

Clinic Improvement

  • Identify any other areas for improvement in the primary care clinic that are necessary and essential to help Musqueam Indian Band build toward a sustainable clinic operation
  • Participate in any Primary Care meetings held internally or externally at the request of the Health Program Lead

Allied Health Professionals

  • Be the key contact and coordinator for visiting health professionals to provide additional services at the clinic such as VCH & FNHA staff, nurses, counsellors, clinicians; scheduling and making appointments for community members; promoting the clinic to community members
  • Liaise with local Medical Practices, Pharmacies and Laboratories, VCH Community Health Centres to build relationships with the clinic and establish networks with other MOAs in the interests of patient care
  • Liaise and form relationships with admission and discharge staff at St Paul’s, VGH, Richmond and other local hospitals to establish protocols for communication when a Musqueam community member is admitted or discharged so that follow-up care can be provided in community
  • Future opportunity may involve proactively identify opportunities for allied health professionals to provide services at the clinic such as Massage Therapy, Alternative Medicine practices (e.g. Reiki, acupuncture), pediatricians, naturopaths, chiropractors, orthopedic providers, pharmacy etc. and make recommendations to the Health Program Lead to expand services for the community

Reporting

  • Gather data on patient numbers and health concerns from the EMR and provide reports to the Health Program Lead
  • Provide data (without breaching patient privacy) as requested by the Health Program Lead for reporting and planning purposes

Community Participation

  • Participate in Musqueam Health Department planning sessions, team meetings, health fairs and other events organized by the Health Department as an active team member
  • Participate in Musqueam community events, ceremonies, celebrations and meetings in an effort to be accepted and trusted within the community, as a positive role model for the clinic
  • Work to create respectful relationships with community members as much as possible
  • Other related tasks as required.

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Grade 12 graduation, plus up to a one-year Medical Office Assistant certificate
  • A minimum of two years recent experience working in a medical clinic or medical office
  • An equivalent combination of education and experience may be considered
  • Experience using a medical office computerized system and aptitude to learning other software programs
  • Knowledge of and experience with Musqueam or First Nations culture & history is an asset
  • Valid driver’s license
  • Medical Office Assistant certification
  • Demonstrated ability to maintain confidentiality regarding patient medical information and records
  • Strong English communication skills (spoken and written) and the ability to communicate tactfully with others
  • The ability to professionally meet, deal with the public and provide information in a pleasant, helpful and confidential manner
  • Ability to problem-solve and take initiative to resolve problems
  • Ability to enter data accurately and pay attention to detail
  • Exceptional organizational skills and the ability to effectively prioritize workload
  • Ability to remain calm during periods of stressful high volume and to meet deadlines as required
  • Ability to work independently and harmoniously as a member of a team
  • Strong computer knowledge of Microsoft Office, good keyboarding skills and experience with various office equipment
  • Successful Criminal Record Check
