Employee Wellness Coordinator (WSIB, LTD, Disability Management)

Summary:

The Employee Wellness Coordinator will oversee the employee wellness program and occupational and non-occupational claims, including WSIB/WCB, medical leaves of absence, Long-Term Disability (LTD), return-to-work planning, and accommodations in Ontario, Nova Scotia, New Brunswick, and Manitoba. The role will work with employees, managers, healthcare providers, and external stakeholders to ensure efficient claim processing and employee wellness program management. This role will review and recommend improvements to disability management policies and processes, analyze data, and collaborate with internal and external resources to facilitate safe and timely return-to-work processes.

 

Responsibilities:

  • Manage the full cycle of WSIB/WCB claims, including reporting, documentation, follow-up, and resolution.
  • Ensure accurate and timely submission of all WSIB/WCB claims, maintaining compliance with policies and regulations.
  • Liaise with employees, managers, and healthcare providers to gather and assess necessary information for WSIB/WCB claims.
  • Communicate updates on claim status and resolution to WSIB/WCB and all relevant stakeholders.
  • Provide guidance and support to employees and managers on WSIB/WCB policies and procedures.
  • Maintain accurate and up-to-date records of all WSIB/WCB claims and related documentation.
  • Stay current on WSIB/WCB policy changes, ensuring compliance and communicating updates, as necessary.
  • Act as the primary point of contact for employees on all occ and non-occ injury and illness, including tracking communication, correspondence, and maintaining the wellness tracker.
  • Participate in case management discussions and meetings, offering insights and expertise.
  • Evaluate and manage medical leaves of absence, coordinating closely with the company’s LTD provider for seamless claim management and return-to-work planning.
  • Review and determine the appropriateness of medical documentation for sick leave benefits.
  • Lead the development and implementation of best practices in disability management.
  • Collaborate with internal departments such as Operations, People & Culture (P&C), and Health & Safety to facilitate return-to-work processes.
  • Offer consultation and assistance to P&C on attendance management, return-to-work, and modified work programs.
  • Participate with operations at in-person for collaboration on modified work programs.
  • Provide support in the administration and management of pension and benefits programs as required.

 

Competencies & Qualifications:

  • Bachelor's degree in Occupational Health & Safety, Human Resources, or related field.
  • 3-5 years of recent experience in Occupational Health & Safety and WSIB claims management or related field.
  • Strong understanding of Occupational and Non-Occupational Claims Management, including WSIB/WCB administration, Functional Abilities Forms (FAF), EI Disability processes, and LTD claims management.
  • Proactively monitor legislative and policy changes to ensure timely updates to disability management policies.
  • Excellent conflict resolution, mediation, interpersonal, leadership, problem-solving, and teaching skills.
  • Exceptional written and verbal communication skills.
  • Experience in data management and statistical analysis.
  • Proficiency in Microsoft Office applications and WSIB online services.
  • Certified Disability Management Professional (CDMP) designation is an asset.
  • Knowledge of relevant legislation, such as the Workplace Safety and Insurance Act, preferred.
  • Strong organizational and time management skills with the ability to prioritize effectively.
  • Ability to handle sensitive information with discretion.
  • Valid driver’s licence with the flexibility to travel to company locations as required.
  • Demonstrates a commitment to operational excellence and continuous improvement.
