About the Role:
The Community Relations (CR) Operations Support Specialist will support the Métis Nation of Ontario’s (MNO) Community Relations team within the Self-Government Strategy Branch with routine to advanced administrative and council-related tasks, including finance monitoring, supporting departmental meetings and events, creating high-end memos and reports, drafting agendas and minutes, working closely with other branch Executive Assistants, engaging with process improvement and strategic planning, and responding to inquiries while providing high professionalism and strong customer service.
What you will be doing:
- Provide regular and higher-level administrative and advisor support to the CR Manager and team members.
- Conduct basic research, collect and compile data, transcribe, compose, type, and edit a variety of correspondence, reports, memoranda, minutes, contracts, presentations and other material requiring judgment as to content, accuracy, and completeness. Proofreads for format, spelling, grammar, typos and general clarity.
- Schedule activities, update calendars, and interbranch collaboration.
- Prepare higher-end briefing notes, memos, and reports.
- Schedule and support meetings, training sessions, and special events, including booking travel, reserving space, preparing materials, and finalizing meeting minutes.
- Track and monitor CR action items to completion.
- Complete budgeting and/or financial tasks, including generating purchase orders, ordering supplies, reconciling purchases, tracking invoices, and processing data.
- Monitor and maintain CR and council equipment and subscription inventory.
- Process expenses for citizens, councils and staff applicable to CR-related events.
- Monitor and triage the general Community Relations Email.
- Provide admin support to the PCMNO chair(s), as may be required.
- Deal with confidential and sensitive issues promptly, with tact and discretion.
- Provide Zoom Webinar support for the branch, town halls, and PCMNO meetings.
- Support council vacancies, internal directories and email distribution lists when needed.
- Support CR activities at the MNO’s Annual General Assembly (AGA) and other branch-related events as may be needed.
- Other reasonable duties as may be assigned.
Qualifications:
- Completion of post-secondary education in business, public administration, project management, communications, human resources or a related field or equivalent combination of education and experience.
- Demonstrated experience in a related field.
- Strong desire to act in the service of the Métis Citizens, to advance and uphold rights and culture
- Registration with a provincial governing body (for certain roles)
- Proficient with essential tools and technologies, and embrace best practices for continuous improvement.
- High degree of technology literacy and proficiency in standard office equipment and software.
- Advanced communications skills.
- Superior organization skills and time/priority-management.
- Highly detail-oriented.
- Ability to work alone/independently with minimal supervision.
- Ability to work as part of a team.
- Strong problem-solving and analytical skills.
- Must be able to identify priorities, manage and pivot tasks.
Preferred Qualifications
- Two years or more experience in a similar/comparable role
- Experience dealing with confidential information
- Experience working in coordinating and delivering programs and/or services
- Knowledge of Indigenous (preferably Métis) culture, issues, and current activities
