The Opportunity:
MCW Custom Energy Solutions is currently looking for a self-motivated and enthusiastic Project Coordinator to join our Halifax office. This is an excellent opportunity for someone who is looking to apply their skills and knowledge and to develop their professional career.
Key Responsibilities:
- Work with our project delivery team to help manage all construction-related records, ensuring timely responses and organized record-keeping.
- Assist the project delivery team with overall project performance including cost, schedule, planning, safety and quality controls reporting.
- Prepare and produce letters, memos, minutes, construction administration documents (e.g. shop drawings, requests for information, change orders) and reports, including word-processing and proof-reading.
- Manage and post project documentation on internal and external file-sharing sites, maintaining current and accurate information.
- Assist the project delivery team in preparing applications, schedules and other documents for signing and sealing, ensuring proper formatting and compliance with requirements.
- Develop and maintain relationships with our service providers through activities such as issuing construction packages, answering inquiries, monitoring and managing progress invoicing.
- Print drawings, coordinate delivery to clients and service providers, and arrange couriers as needed, ensuring timely and efficient delivery of project documentation.
- Assist with overall project closeout, including manuals, record drawings, warranties, archival.
- General administrative duties including data entry, filing, copying, creating PDFs, couriers, purchasing etc.
- Maintain and organize the electronic filing systems to ensure business and operational reports, forms, and other business documentation are readily available.
- Maintain a professional image and demeanor with all team-members and visitors at all times.
- Ensure quality, completeness and co-ordination of your work.
- Work primarily in office with some work at construction sites.
- Overtime as required when authorized by your Manager.
- Other ad hoc duties as assigned.
Qualifications, Experience and Education:
- A minimum of 2-3 years of experience in project coordination or a similar role, preferably within the construction, engineering, or consulting industry.
- Familiarity with construction administration processes and documentation is considered an asset.
- Familiarity with CAD and/or BIM software (such as AutoCAD, Revit, or Navisworks) is an asset.
Required Skills:
- Excellent interpersonal skills with the ability to quickly develop positive business relationships with team members and external contacts.
- Must possess strong technical skills with Microsoft Office Suite including Word, Excel, PowerPoint and Outlook at an intermediate level.
- Ability to adhere to task-related procedures and standards and demonstrate flexibility in handling heavy workload.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively while being able to meet deadlines.
- Excellent verbal and written communication skills, with the ability to work effectively with both internal and external stakeholders.
- Knowledge of project management software (such as Microsoft Project, Procore, or Smartsheet) is an asset.
