The Mobile Laboratory Services (MLS) Coordinator is primarily accountable for working with employees, patients and members of the health care community to ensure optimal delivery of mobile laboratory services. Working directly with leaders, physicians, long-term care facilities, and patients, the MLS Coordinator is responsible for evaluating service requests and ensuring the effective and efficient scheduling of MLS visits to meet the service objectives of the organization. Other accountabilities include handling customer service inquiries and complaints, updating and maintaining internal record keeping systems, and coordinating all administrative tasks for the MLS Office.

This vacancy is for an existing position.

 

Your responsibilities will include:

  • Establishes and maintains relationships with physicians, health care workers and patients responding to
    various service issues. Develops solutions and ensures follow-up action is taken as required. Inquiries
    may relate to services provided such as test procedures and protocols, hours of operation, locations
    served, etc.
  • Coordinates and schedules urgent or special business requests for new or existing services such as
    sports teams, refugee testing, corporate accounts, insurance testing, Stats, medical outbreaks.
  • Investigates and resolves customer service complaints (i.e. follow up for missing tests, cancelled
    services) and refers questions that are more complex to Supervisor as appropriate for follow-up.
  • Provides input into various Long Term Care Agreements and contracts such as timing of when services
    can be performed (i.e. coordinates day and time of services).
  • Acts as the first point of contact for Long Term Care facilities and provides direction and consultation
    when onboarding new facilities.
  • Responds to concerns raised by staff regarding service calls or issues and escalates to leaders where
    appropriate.
  • Supports and coordinates route-planning and scheduling activities. This involves coordinating incoming requests and inquiries for MLS services including screening requests to ensure eligibility criteria is met, and prioritizing and scheduling new services requests to optimize routes. Monitors all requests for service taking action on expired requests or changes to eligibility. Complex requests are escalated to the supervisor.
  • Provides input into the route design to accommodate growth and requests for MLS service as required.
  • Coordinates and schedules special testing services such as the annual Creatines for care facilities.
  • Creates and maintains various recordkeeping systems such as the Customer Relationship Management (CRM) for healthcare reporting.
  • Enters patient information and sets up all new Standing Orders

 

What you will bring to the role:

  • One to three years of experience
  • Previous experience working as Laboratory Assistant or Mobile Laboratory Assistant, Scheduler or Call Centre Agent is preferred.
  • Demonstrated competence with Microsoft Office including Excel, Word, and Outlook.
  • Experience with Kronos, BC Prod and CRM is an asset.
  • Excellent interpersonal skills, written and verbal communications.
  • Excellent organization skills, time management and prioritization skills.
  • Flexibility and the ability to work under high volume, time constraints, and change.
  • Must be able to work independently and as part of a team.
