Intake Coordinator– Full Time

Salary: $45,700- $56,300

Position Description: Based in Indwell's Waterloo Region, as the Intake Coordinator, you will manage the access and intake systems for applicants looking to find housing and supports with Indwell. Reporting to the Intake Manager, you will be answering phone calls and inquiries, working with different municipal housing databases and partners, screening and assessing needs, prioritizing and coordinating appropriate follow up appointments and referrals. Collaborating and working within Indwell programs to best assess program needs and vacancies and other tasks related to housing applications and the wait list. As the first or primary point of contact for many applicants and community partners, this position provides a unique opportunity to demonstrate dignity, love, and hope to individual’s experiencing major life transitions.

Hours of Work: Full Time- 40 hours per week, Monday-Friday, 9pm-5pm with some flexibility.
WHAT YOU WILL BE DOING:
Intake Administration
- Responding to telephone and email inquiries, referrals and requests for service from applicants and/or their supports
- Receiving preliminary client information to screen suitability for an assessment or admission
- Assessing applicants’ suitability for housing programs
- Ensuring data entry of all documentation to the database
- Maintaining the applicant list and managing referrals for municipal wait lists
- Keep up-to-date client records in compliance with data collection standards
- Coordinating intake assessment meetings with program staff. Participating in intake meetings when needed.
- Contacting referring sources, applicants and families
- Acting as the first point of contact for external contacts, responding to and redirecting calls, email, and in-person inquiries
- Working closely with other Intake Coordinator & Program Managers to ensure the effective operation of the Intake function, including ongoing process improvements.
- Occasional support in program with the goal of fostering team relationships and maintaining understanding of program needs and function
- Respond to inquiries for information from staff and the Board
- Supervising volunteers, staff and students who are on the Intake team
Team Leadership and Participation
- Working collaboratively with all staff and volunteers
- Participating in staff meetings, professional development activities, and organizational functions
WHAT YOU WILL BRING:
- College diploma or university degree
- Experience working in a social service setting is required; the successful candidate must be able to communicate using social services terminology
- Genuine interest in providing quality care for individuals living with mental illness, chronic conditions, and physical disabilities
- Commitment to promoting and demonstrating the vision, mission and values of Indwell within the workplace and the community
- Excellent verbal and written communication skills. Courteous, tactful, diplomatic, and friendly
- Ability to maintain good interpersonal relationships
- Knowledge of resources for affordable housing
- Proficiency in Microsoft Office
