Based in Montreal and reporting to the Vice President of Construction, the Administrative Assistant – Construction will play a key role in ensuring the smooth operation of the department by providing effective administrative support and managing documents and communications efficiently.
- Provide administrative support to the Construction and Accounting departments.
- Assist the Accounting department with administrative tasks.
- Answer phone calls, welcome visitors, and manage incoming emails.
- Prepare construction contracts and purchase orders for suppliers and subcontractors.
- Receive, review, and distribute compliance documents from suppliers and subcontractors.
- Manage purchase and rental order numbers for construction site teams.
- Oversee governance: organize advisory committees, draft meeting minutes, and ensure adherence to best practices.
- Perform any other administrative tasks necessary for the efficient operation of the department.
Qualifications:
- Significant experience as an Administrative Assistant in the construction industry (mandatory)
- In-depth knowledge of administrative processes related to construction sites
- Excellent oral and written communication skills
- Proficiency in office tools (Microsoft Office Suite)
- Strong organizational skills and ability to manage priorities
- Ability to work in a team and interact with various stakeholders
- Attention to detail, autonomy, and rigor
