Based at Centre Duvernay and reporting to the Senior Director of Shopping Centers, here are the main responsibilities of your new position as Property Service Coordinator:

  • Respond to service requests;
  • Assign work orders to Building Technicians and follow up on them;
  • Ensure good communication between the Building Technician and the Property Manager;
  • Ensure proper deployment of Building Technicians to the properties;
  • Ensure tenant files in Yardi are complete and up to date;
  • Respond to various tenant requests;
  • Send different letters and notices;
  • Process purchase orders and handle invoices;
  • Manage security permits and incident reports;
  • Manage service contracts as requested by the Property Managers;
  • Prepare monthly reports;
  • Collaborate with the Property Manager on satisfaction surveys;
  • Supervise, in collaboration with the Property Manager, overdue rents;
  • Collaborate with the leasing team for property visits and any requests related to the shopping center;
  • Coordinate activities and events within the center as required by marketing and maintenance;
  • Occupancy report: keep the list of vacant units up to date and manage vacancy records;
  • Keep the shopping center’s master plan up to date and make change requests as needed;
  • Closure, opening, and possession notices: follow up on key handover and property take-over, as well as the preparation of necessary documents;
  • Temporary leasing: Follow up on requests and prepare temporary occupancy agreements;
  • Replace the Administrative Assistant as needed;
  • Assist the manager in preparing the annual budget.

Qualifications:

  • College diploma in office administration;
  • CPM or FMP certification (an asset);
  • A minimum of three (3) years of experience in a similar role, particularly in real estate;
  • Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
