Your Role

This is a hybrid role consisting of a full range of administrative duties

As a Financial/Scheduling Coordinator, you’ll play a pivotal role in creating positive patient experiences and driving our practice’s success. Responsibilities include but are not limited to:

 

  • Provide backup and coverage for the Scheduling Coordinator
  • Answering phones, booking appointments, and responding to emails and texts
  • Organize and update paperwork and administrative requirements to collect payments.
  • Build strong relationships with patients to ensure trust and loyalty.
  • New patient orientation - signed documentation.
  • Enter and update financial contracts into the software system.
  • Resolve financial discrepancies and financial concerns.
  • Update financial information in the practice management software.
  • Maintain and balance daily finances.
  • Maintain a positive relationship with insurance companies.
  • Track any notes on the chart regarding insurance changes.
  • Processing insurance claims, direct billing, and reconciling insurance cheques.
  • Arrange payment agreements with new patients.
  • Follow up on outstanding accounts.
  • Prompt and professional communication to patient enquiries.
  • Accounts payable.
  • Maintain daily, weekly, and monthly monitoring systems and reports.
  • Managing and resolving patient concerns/issues.
  • Other administrative duties as needed.

 

About You

  • Previous experience in an Administrative Assistant/Receptionist role preferred 
  • Previous experience as a Financial Coordinator would be an asset.
  • Ability to be respectful of others and act with discretion at all times 
  • Ability to work independently and in a team environment 
  • Proficiency in Microsoft Word and familiarity with office management software for scheduling and billing 
  • Proficiency in typing and keyboarding skills 
  • Excellent organizational and time management skills 
  • Excellent verbal and written communication skills 
  • Excellent social and interpersonal skills 
  • Ability to prioritize tasks 
  • Self-motivated and reliable
  • Above all a positive, friendly, and outgoing personality that enjoys engaging with patients, team members, and doctors is a must
