Client Event Coordinator

Purpose of the role:
Under the direction of the Chief BDO and Senior Marketing Manager, the Client Event Coordinator provides the Firm with strategic direction and a turnkey approach to event production, including researching, developing, planning, executing and reporting on client functions, conferences, and special events. The Client Event Coordinator provides meaningful direction to the events strategy and offering expertise through the entire event process. This role requires a creative and confident individual with an abundance of energy who is agile and comfortable with an ever-changing environment that can add complexity to event planning (and un-planning).

Senior Marketing Manager

Primary duties and responsibilities:

  • Creates new and memorable experiences for our clients, driving client satisfaction and affinity for the firm;
  • Meets with internal stakeholders to discuss needs and strategize key objectives for event requests;
  • Coordinates and executes comprehensive and creative proposals based on above;
  • Offers strategic insight, applying understanding of business objectives to all facets of events including guestlist development and event production;
  • Showcases strong project management skills, owning project plans and effectively communicating with all stakeholders throughout the entirety of the project;
  • Tracks and measures completed projects, compiles reports and leverages insights to make recommendations for and to implement improvements;
  • Supports lawyers in organization of ad-hoc client hosting opportunities, advising on best practices and recommendations for elevating client experiences;
  • Contributes to firm's sponsorship commitments, managing event-related activations (including various golf tournaments, fundraising activities, etc.)
  • Develops timelines and event schedules, builds and maintains relationships with requisite vendors, and negotiates contracts;
  • Accountable to adherence to event budgets, prepares, proposes, reconciles and reports on event budgets and actualized costs;
  • Organizes facilities and details such as décor, catering, entertainment, location, invitations, guestlists and RSVPs, promotional material, onsite staffing, AV requirements, gifts, etc.;
  • Attends events, ensuring top-level client service is provided and services negotiated with vendors are fulfilled (including set up and teardown, may require overtime on evenings and/or weekends);
  • Collaborates with Marketing to ensure branded execution of events and facilitates, ensuring valuable content creation opportunities for online channels;
  • Builds in-depth proficiency of tools and programs needed to manage and execute events including Vuture, InterAction, iManage DMS, etc.;
  • Own the Firm's client gifting program including coordinating, sourcing, executing and distribution;
  • Tracking and reporting on the client gifting program, offering insights to strengthen the program in support of business plan strategies;
  • Contribute to annual business planning and reforecasting of team goals and budgets;
  • Build and maintain successful and productive relationships with colleagues, external agencies and vendors;
  • Manage client lists and maintain client information in firm databases;
  • General administrative assistance for the team, such as processing expense requisitions, drafting and formatting communications, forms, slide decks, and reports, coordinating bookings, travel, meetings and reservations, data entry, research, and project management;
  • Keeps abreast of industry trends, actively implementing such knowledge; and
  • Other duties as required.

 

Education and Qualifications:

  • Post-secondary education in Event Management, Marketing, Business Development or similar required;
  • 2+ years' experience coordinating events required; and
  • Experience working in the professional services industry preferred.
