Job Summary
We are seeking a highly organized Workforce Logistics Coordinator to join our team. This role focuses on managing workforce scheduling, travel, and logistics for field teams, ensuring smooth operations and timely support for remote job sites. The ideal candidate will bring experience in workforce logistics, scheduling, or travel coordination within the contracting or skilled trades industries and will understand the unique challenges of supporting field personnel in dynamic environments.
Duties and Responsibilities
- Arrange air travel, accommodations, and transportation from airports to job sites, ensuring bookings align with company guidelines and budgets.
- Build and maintain relationships with travel, accommodation, and transportation vendors to secure competitive rates and reliable services.
- Act as the main point of contact for travel-related issues, resolving last-minute changes or delays to minimize disruption.
- Work with Operations Managers and Site Superintendents to optimize staffing across assigned sites.
- Develop and manage shift rotational templates for individual shifts, addressing daily changes to ensure timely communication and minimal disruption.
- Monitor employee hours to ensure compliance with site and regulatory obligations, resolving any scheduling-related queries.
- Coordinate resources for field teams at remote sites to ensure operational efficiency.
- Maintain accurate records of travel, scheduling, and logistics, generating reports to identify areas for improvement.
- Use HRIS systems (e.g., Dayforce) to update shift schedules and manage logistics.
- Proactively identify and implement operational efficiencies while maintaining strong working relationships with team members and vendors.
Qualifications
- Minimum of 2 years in a workforce logistics, travel coordination, or similar administrative role, preferably in the contracting and skilled trades industry.
- Proven ability to adapt to last-minute changes and resolve travel and logistical challenges under pressure.
- Strong organizational and multitasking abilities with excellent written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with travel booking systems and HRIS platforms (e.g., Dayforce) is an asset.
- Detail-oriented and proactive with a strong focus on problem-solving.
- Resilient under pressure and adept at prioritizing competing deadlines.
All Successful Candidates Must
- Be proficient in English, both verbally and in writing.
- Hold a valid Class 5 Driver’s License and provide a clean 5-year driver’s abstract (minor infractions acceptable).
- Be able to pass a criminal record check, alcohol test, and an 8-panel urine drug test.
- Be living in or willing to relocate to Kamloops, B.C., as this is an office-based role.
