The Alma Mater Society (AMS) is the University of British Columbia’s (UBC) student society, and works to improve the academic, social and personal lives of the 56,000 UBC students at its Vancouver campus. The AMS also runs nine food and beverage outlets, a catering and conference operation, and the AMS Student Nest, providing on-campus employment opportunities and generating revenue that goes directly back into supporting the students at UBC.

Description

The AMS Student Services Marketing and Administrative Coordinator is responsible for the marketing & promotional plan and administrative & communication tasks for AMS Services. The Student Services Marketing and Administrative Coordinator will work with Assistant Manager, Student Services Manager, Coordinators, Assistant Coordinators, and the AMS Marketing and Communications department in developing, coordinating and implementing outreach and marketing plans for the AMS Services.

The Student Services Marketing and Administrative Coordinator will assist the Assistant Manager, Student Services on a variety of projects and initiatives that involve various aspects of the Services portfolio. This includes, but is not limited to, work on special projects, software implementation, marketing and outreach initiatives, internal team building and professional development, stakeholder engagement, strategic planning, financial management, and research.

The Student Services Marketing and Administrative Coordinator will work with all relevant stakeholders to ensure that the AMS Services continue to offer accessible, relevant, and reliable services to the UBC community.

Duties and Responsibilities:

  • Oversee and manage the marketing and administrative functions of AMS Services under the guidance of Assistant Manager, Student Services 
  • Engage, support and coordinate with the Services team in developing, strategizing and implementing a marketing and promotional plan
  • Coordinate and plan with AMS Marketing and Communication team on AMS Services marketing projects.
  • Undertake marketing and administrative tasks to ensure the smooth operation of the department’s marketing and administrative activities
  • Oversee and manage AMS Services spreadsheets, databases and inventories with statistical, financial and non-financial information
  • Coordinate and assist with promotional events and traditional/digital campaigns with the Services team
  • Conduct regular assessments of the Services’ progress, working with the AMSS, Coordinators, and Assistant Coordinators to increase outreach and engagement of AMS Services 
  • Research innovative ideas and provide recommendations to the Services team with the aim of improving Services overall in all areas
  • Provide administrative support to ensure efficient operation of the department i.e. budgeting, communication
  • Working with the Student Services  Assistant Manager in planning AMS Services events and workshops
  • Participate in regular meetings with the AMS Services team and the Assistant Manager, Student Services
  • Prepare a series of reports including: monthly usage reports and a year-end report to the Student Services Assistant Manager, and a transition package (manual, report and position timeline) for the next AMS Marketing & Administrative Coordinator 
  • Work within the AMS mission statement and values to operate a successful department
  • Other duties as required

Qualifications

  • Must be a currently registered student at UBC Vancouver
  • Strong interpersonal and communication skills
  • Strong organizational and time-management skills
  • Enthusiastic, adaptable, open-minded, and eager to get involved
  • Comfortable working independently and being a self-starter
  • Previous involvement in on-campus initiatives is preferred
  • Knowledge of the AMS Services and resources is an asset
  • Familiar with Microsoft Office, WordPress, and willing to learn about new software
  • Experience with marketing and outreach efforts an asset
  • Comfortable working within an anti-oppression framework to create a positive space for all
  • Ability to work flexible hours and adjust schedule based on the needs of the Services
