Position Summary
Reporting to the Senior Advisor & Director, Business Planning, the Project Manager is responsible for setting up and managing complex/higher-risk strategic projects having the potential to impact multiple different stakeholder groups.
The Project Manager is also responsible for providing guidance and consultation to staff on project management best practices. This position also assists in leading, launching, and maintaining APEGA’s project management office to ensure the portfolio of strategic projects has oversight.
Responsibilities
- Authoring project business cases and project charters – including the potential for portfolio and program charters
- Managing projects that run across multiple fiscal years
- Building and maintaining project plans, suitable for Agile execution, which include subsidiary plans such as time, schedule, scope, cost, risk, procurement, communication, risk, stakeholder, quality assurance, quality control, etc.
- Actively engaging in the identification/selection of appropriate internal and/or external project personnel - setting up appropriate structures and sub-teams suitable for the work package
- Regularly communicating with stakeholders on project status
- Defining and communicating relevant staging environment specifications to IT
- Ensuring that each project not only addresses SDLC components, but also addresses work in privacy, cyber security, data governance and records management (particularly where there is unstructured content being created)
- Working closely with APEGA's IT team, and associated external vendors, to ensure technology requirements are satisfied
- Engaging in open and regular communication with multiple departments across APEGA to ensure impact, implications and change have been considered during the project lifecycle
- Setting up relevant steering committees and scheduling regular status updates accordingly
- Writing briefing notes to the Executive Sponsor regarding project health and status
- Providing the Executive Sponsor a monthly status report on project health
- Communicating project risks to executive sponsor in timely and concise manner – assembling options and providing a recommendation(s)
- Organizing and prioritizing people and tasks for optimal project execution
- Reviewing vendor contracts and statements of work to ensure risks are noted and that project objectives and goals will be established upon contract execution
- Documenting, executing and managing change orders with relevant parties
- Ensuring all contractual agreements and change orders are stored in APEGA’s contract management system
- Actively mitigating project risks and communicate to the appropriate level when appropriate
- Partnering with resource managers when human resource risks are identified
- Partnering with change management experts to establish and incorporate organizational change management plans into project execution
- Creating and coordinating effective transition/handover to operations activities - both for business and IT
- Setting up and maintaining relevant SharePoint and/or Teams sites to support over project execution and document management
- Ensuring all relevant SDLC documentation, including ‘as built’, are stored in designated repositories for long-term records management
- Providing input on tools and templates used by project managers and other business areas at APEGA
- Continuously look for ways to improve project delivery at APEGA based on best practices and industry standards Provide consultation and guidance to APEGA’s PMO
- Act as a project management subject matter expert for APEGA staff
- Provide project management consultation on projects to share best practices in and APEGA standards of project management to improve project success

Qualifications
- Post-secondary degree, Business or Computing an asset
- 10+ years managing high-risk and cross functional projects that impact internal and/or external stakeholders
- Experience working with a Project Management Office
- Effectively communicate and collaborate with proven experience in setting expectations and managing cross-functional/international vendors' resources
- Project Management Professional (PMP) certification
