THE ROLE
Our team is looking for an Office Administrator to join Vancouver HQ! As the Office Administrator, you will be responsible for the day-to-day operations of the office, providing consistent and positive support to internal and external stakeholders.
Duties/Responsibilities:
- Greet all clients and visitors, both in person and over the phone.
- Organize travel arrangements using our travel platform, Melon; This includes managing travel budget, booking flights, organizing accommodation, and preparing appropriate itineraries as required
- Act as a first point of contact for all corporate office related enquiries, liaise with external vendors including property, security, and cleaning services
- Maintain office inventory with necessary equipment and supplies, ensuring all areas throughout the office are well-stocked and well-maintained; managing purchases or repairs as necessary.
- Regularly handle confidential material and information and exercises discretion in doing so
- Ensure the tidiness of the office environment (common areas, meeting rooms, and kitchen facilities) to increase efficiency and productivity
- Be the spokesperson for all general communication in the office
- Oversee and manage other office services (ex. corporate phones, travel apartment, etc.)
- Broader administrative duties as required
Skills/Experience/Knowledge needed:
- 2+ years of experience in a similar role
- Highly organized and resourceful, with effective time management and organizational skills
- Effective communication skills with an ability to work and adapt in a fast-paced, cross-functional environment
- Strong work ethic with a willingness to get things done, give extra effort, and be flexible to the needs of a growing business
- Ability to establish and maintain effective relationships and networks with a range of stakeholders
- Experience in using and troubleshooting issues with online technology including videoconferencing and audiovisual systems.
- Ability to be in office 5 days a week is mandatory
