WHAT WILL YOU DO
The Specialist, Policy and Documentation Writer is responsible for researching, analyzing, writing, editing, and publishing accurate and comprehensive documentation for complex departmental policies, processes, and procedures. This role ensures the clarity, consistency, and accessibility of critical information required for operational success, irregular operations, training, and community education. Additionally, the specialist provides administrative and coordination assistance to the teams ensuring the seamless integration of documentation into training and operational systems.
WHATS THE TEAM LIKE
Our Terminal Operations team collaborates with multiple business units, tenants, airlines, and other stakeholders within the airport community to ensure that our passengers at YYC have a seamless and positive airport experience.
WHAT ARE SOME OF THE RESPONSIBILITIES
- Gather and analyze information, processes, and procedures to determine the logical and sequential flow for documentation.
- Conduct interviews and use information-gathering techniques to obtain pertinent details.
- Write, edit, and publish clear, concise, and comprehensive documentation, including standard operating procedures, policies, disaster recovery procedures, and other supporting materials, ensuring alignment with templates, style guidelines, regulatory requirements, basic map and drawing creation.
- Organize material and complete writing assignments by leader established deadlines, maintaining standards for clarity, conciseness, and terminology.
- Review and update existing documentation to keep it accurate, current, and relevant for stakeholders.
- Collaborate with internal and external stakeholders to refine standards, procedures, and process documentation.
- Perform operational walkthroughs to validate that all aspects of airport, airline, and passenger experiences are accurately captured in the documentation.
- Apply principles of page layout, typography, and design to produce professional and readable documents.
- Participate in ongoing review sessions for upcoming projects to understand role implications and the appropriate impact to procedures.
- Review drawings and other documents to understand which graphical information is to be incorporated into the procedures or advise where more information is required.
- Accountable to ensure that customer’s expectations are met; that documentation and training have been provided and are sufficient for operational purposes and meet contracted requirements.
- Create training documentation related to operating manuals and standard operating procedures including training manuals and tests if required.
- Develop training materials in support of the training program for operational stakeholders and YYC Contractors, including on the job training and train the trainer for new systems or processes. IE: Ambassador; SOC
- Review existing systems/procedures to determine gaps in training; provide recommendations to resolve or improve processes and documentation.IE: The Source; Sharepoint; Brand standards; governance.
WHAT DO YOU NEED TO BRING
- The ability to gain and maintain a RAIC (RAIC Program and Application Information)
- Post secondary diploma in Business Writing, Technical Writing, Policy Development or a related discipline is required. Alternatively, a high school diploma combined with 6+ years of relevant experience may be considered.
- 3+ years of experience writing policies, procedures, and other formal documents, ideally in a regulatory or operational environment.
- Excellent written and verbal communication skills with an eye for detail.
- Experience in writing clear, precise, and compliant documentation, including operational manuals, safety procedures, training materials, or regulatory reports.
- Experience in screen capture and graphics modification software such as Adobe PhotoShop or InDesign.
- Capacity to plan, prioritize, schedule and track assigned initiatives in order to meet deadlines while maintaining a focus on quality and detail.
- Ability to anticipate change, re-establish priorities, respond to changes and balance conflicting priorities by being flexible.
- Knowledge of the methodology involved in writing formal technical documents.
- Intermediate to advanced technical computer skills in Microsoft Office products with a firm understanding of design, layout and graphics through Word.
- Ability to effectively interact with multiple internal and external stakeholders in a timely manner; sometimes in a short time frame.
- Experience in creating flowchart diagrams.
- Experience with SharePoint platform.
- Experience in working with content management systems.
