JOB TITLE: Client Services Specialist/Administrative Support

 

The opportunity:

A Client Services Specialist/Administrative Support - provides service to customers in their independent job search and learning goals, and provides in-depth information on the job search process, upskilling opportunities, their respective tools, and related information. These include workshops, information sessions, and one-on-one, either virtually or in person. This includes the ability to support customers on computers, including word processing and troubleshooting.

A Client Services Specialist/Administrative Support is knowledgeable about the community, which includes community partners and agencies, businesses and services, and is up to date on what is influencing the local labour market.

This is a position that requires a professional, caring and inclusive attitude; strict adherence to the YMCA’s values is imperative and requires a high level of attention to detail.

 

 

In this role, you will:

· Welcome clients to the centre, ensuring they get appropriate services for their needs

· Assist clients in the self-help area, adhering to self-help guidelines

· Answer the phone, directing callers to the services they need

· Complete appointment call aheads to remind clients of their appointments

· Monitor the general email, forwarding or answering emails as required

· Secure all locked storage at the end of each day, including locking and securing exterior doors

· Stay current with local economic development, current community events, and labour market changes

· Conduct initial client registrations which includes assessing eligibility and suitability for various programs (both virtual and in-person)

· Collaborate with other YMCA centres in the department on joint initiatives

· Work with employers regarding job postings; follow up and rebook or cancel as required

· Maintain and update job boards, both in the centre and online, sourcing a variety of jobs

· Maintain community events board and monthly calendar of workshops

· Maintain computers and troubleshoot basic issues

· Performance Based Funding outreach to clients in Employment Action Plan (EAP)outcomes

· Complete, update and prioritize all required paperwork, case notes and documentation in a timely manner, as required

· Attend various community interagency meetings for Employment and Learning Services

· Duties could include posting on social media as required – job postings, community messages, etc.

· Multitask and adapt to evolving government directives

· Maintain up-to-date knowledge of local, regional and broader labour market information

· Ensure labour market information and how to access in-depth information is kept current

· Identify and develop tools to help customers understand the changing labour market and its impact on the job search process

· Develop and conduct job search/employment related workshops and information sessions

· Maintain the resource area with up-to-date resources

· Data entry to a variety of CRM systems

· Be able to work independently while maintaining team cohesion

· Demonstrate strong support and commitment to the mission and core values of the YMCA of Simcoe/Muskoka and the YMCA in Canada.

· Demonstrate strong support and commitment to serving the program participants of the YMCA of Simcoe/Muskoka.

· Represent Employment and Learning Services and the YMCA of Simcoe/Muskoka as per standards outlined in the YMCA personnel policy

· Understand the Performance Management model and the Service Quality Standard and its composition, and actively works with the employment team to attain, maintain, and exceed that standard

· Be willing to preform other duties as required and/or assigned by Site Managers.

 

You bring:

· Minimum college level diploma in administration, adult education and training or social sciences, or related field preferred

· Proficient in Microsoft 365, which includes but not limited to Microsoft Teams, OneDrive, MS Word, Power Point, Excel as well as the internet and comfortable with new and evolving technologies and social media

· Strong communication skills both verbal and written

· Experience working in an environment where service is being provided to the public, and experience delivering outstanding customer service

· Demonstrated in-depth knowledge of the job search process, including new and evolving methods of self-promotion used by job seekers

· Familiarity with Employment Ontario programs, SSM's and service provider delivery model is considered an asset

· Knowledge of major online job information and career guidance sources for all major industries and vocations

· Ability to meet deadlines

· Ability to problem solve and manage crisis situations

· Ability to maintain confidentiality at all times

· Self-motivated and a strong team player

· Class G license and access to a vehicle is required

· Willingness to participate in mandated training to be completed before or shortly after

commencement of work including:

o AODA Training

o Health & Safety Awareness Training

o Bill 168 (Violence & Harassment in the Workplace) Training

o PCI Compliance

o WHMIS

o Child Safeguarding Orientation

· Willingness to be able to work flexible hours based on client needs
