People & Culture - HR Generalist
The opportunity:
The People & Culture Team is a centralized point of contact for all employees, managers and supervisors. As a part of the P&C Team, you will report to the Human Resources Manager and will provide daily HR support and coaching to all operations on a broad range of HR Issues. In addition, the Human Resources Generalist will be a key contributor to internal process improvements and implementing P&C Operational Plan.
Please note that his is a maternity leave position.
In this role, you will:
Coaching and Guidance:
• Administer the Associations Human Resource policies and practices and take the lead on providing coaching and support to supervisors and managers about HR functions, practices and processes.
• Flag to Manager, Human Resources any employee relations related issues that are brought to your attention by supervisors or staff; assist with notice letters (i.e. reduction of hours, contract completion) as requested; flag any trends or patterns and recommend solutions.
• Provide guidance to new HR staff as needed.
Recruitment:
• Assist with recruitment, including posting positions on Dayforce and providing advice for other posting options.
• Ensure all job postings reflect YMCA standards and provide coaching to Hiring Managers on process, compliance and best practices.
• Prepare offer letters and employment agreements for hiring managers.
Benefits & Pensions:
• Ensure up to date knowledge of the YMCA benefit plans and eligibility rules; offer assistance with any benefit issues that need escalation.
• Ensure Pension Enrollments are timely and address and answer eligible employee questions in regards to pension and benefits.
• Maintain communication with benefits provider to resolve any issues.
• Update templates, communications, documentations and data tracking.
• Contribute to building learning about available benefits to new staff.
Absence Management:
• Knowledge of the different paid absences and the definitions for these plans (i.e. personal emergency days, vacation policies, etc.); provide guidance to supervisors regarding the interpretation of absence plans; ensure we are in compliance with all ESA standards regarding absences.
• Take the lead on disability management with employees and benefits providers.
• Ensure collection of preauthorized payment forms are obtained timely and collaborate with Community Care and Payroll for collection of payments.
Data Integrity:
• Accountable for the data integrity of information on HR Files, staff are in the appropriate employment status; follow up is completed with supervisors regarding status changes; assists supervisors with appropriate documents needed for staff changes, new hires, etc.
• Working closely with Finance/Payroll; maintain data integrity, enter data, ensure that records are current and all compliance items (such as PRC VSS reports) are tracked; design, structure and prepare reports.
Process Improvements:
• Assist with updating and maintaining internal procedures documentation; flag when changes may need to be made; identify opportunities for process improvements and enhanced efficiency of human resources procedures.
• Lead documentation of process improvement initiatives and act as a representative to association wide initiatives on behalf of HR.
Onboarding and Learning:
• Maintain HR section of the intranet site and other platforms for employee communications.
• Participate in building and delivering new staff onboarding and orientation.
• Support the coordination of learning initiatives.

You bring:
• Post-secondary education equivalent to a university degree in Human Resources or related field
• CHRP designation (or in progress)
• 4 years’ experience in a formal human resources role
• Knowledge of HR related principles and best working practices and procedures, employment standards legislation and other regulatory requirements
• Experience with benefits administration and disability management
• Understanding of basic recruiting principles
• Understanding of human resource reporting and recordkeeping requirements
• Ability to understand, interpret, and apply general administrative and departmental policies and procedures
• Proven ability to develop effective relationships across all levels of the organization
• Adaptability to set and prioritize work and meet critical deadlines
• Ability to work with diverse personalities and styles
• Exercise good judgment and confidentiality in maintaining critical and sensitive information, records, and reports
• Demonstrated attention to detail and ability to read, understand and review documents for accuracy and relevant information
• Effective, clear, and precise communication skills – written, verbal and through presentations
• Computer skills: MS Office (Word, Excel, PowerPoint, Outlook); HRIS (Ceridian Dayforce preferred)
• Knowledge of basic office procedures and equipment, business writing, and techniques of proper phone and email etiquette
• A deep understanding of customer service in an office environment
• Confidence to ask questions and seek clarity when required
• Must be able to work flexible hours based on client needs
• Willingness to participate in mandated training to be completed before or shortly after
commencement of work including:
o AODA Training
o Health & Safety Awareness Training
o Bill 168 (Violence & Harassment in the Workplace) Training
o PCI Compliance
o WHMIS
o Child Safeguarding Orientation
• Willingness to be able to work flexible hours based on client needs
