Managing Director, Property Management

The Managing Director of Property Management is responsible for overseeing and leading the company's property management department, ensuring the successful operation of residential, commercial, and mixed-use properties. This senior leadership role will provide strategic direction, operational oversight, and financial management, ensuring properties under management meet high standards for tenant satisfaction, financial performance, and regulatory compliance. The Managing Director will collaborate with internal teams, external stakeholders, and clients to drive growth, profitability, and operational excellence.
Responsibilities:
Property Management Operations
- Develop standardized criteria for tenant handovers in collaboration with the property management team.
- Revise and streamline department processes to enhance efficiency and continuous improvement.
- Ensure that monthly property management reports are comprehensive, accurate, and delivered on time.
- Regularly review reports with Property Managers, ensuring accuracy and identifying areas for improvement.
- Collaborate with Property Administrators to review tenant lease-related tasks and ensure accuracy.
- Work with Property Managers on maximizing revenue, rent collection, cost control, and accurate reporting.
- Hold regular meetings to discuss the status of receivables and ensure timely collections.
Team Leadership & Development
- Create and maintain open and transparent communication within the property management team and across departments.
- Encourage cross-functional meetings between Property Managers, operations, and leasing teams to resolve issues independently and enhance collaboration.
- Conduct weekly one-on-one meetings with direct reports to provide mentorship, discuss performance, and support personal development.
- Promote a culture of teamwork, ownership, and innovation through ongoing mentoring and coaching.
- Lead regular team meetings to address challenges, set goals, and ensure properties are managed optimally.
Tenant Relations & Customer Experience
- Actively identify and implement improvements to the property or service offerings that enhance tenant comfort and cost-efficiency.
- Develop and maintain positive relationships with tenants, ensuring their needs and concerns are addressed promptly and effectively.
- Work with the Marketing team to create and update tenant packages, ensuring all necessary documentation is provided in collaboration with the PA Supervisor.
Vendor & Supplier Management
- Establish and maintain strong, positive relationships with suppliers and vendors, ensuring that feedback is communicated clearly and consistently.
- Engage in regular conversations with vendors to assess performance and address any issues that may arise.
- Collaborate with the Operations team to ensure smooth vendor relationships, resolving any operational challenges as they occur.
Qualifications
- Post secondary education in Real Estate, Business Administration, or a related field.
- 5+ years of experience in property management, with a proven track record of leadership and financial management within a real estate or property management company.
- Expertise in residential, commercial, and/or mixed-use property management, with a solid understanding of relevant laws, leasing practices, and maintenance protocols.
- Deep understanding of financial management, budgeting, forecasting, and financial reporting in property management.
- Strong experience managing teams, with exceptional interpersonal and communication skills. Ability to motivate and lead a diverse team across multiple locations.
- Real Property Administration Certificate is an asset.
- Proficiency with Yardi is an asset.
