The Project Administrator supports the Project Controls and PMO departments within Systems Delivery. This role assists with process documentation development, serves as a backup for key Epicor-related tasks, and supports the department's invoicing process.
Main Responsibilities
Documentation Development
- Assist in developing, standardizing, and maintaining Systems Delivery QMS documentation.
- Collaborate with cross-functional teams to capture and document workflows, ensuring accuracy and alignment with organizational objectives.
Epicor Data Management
- Support Epicor ERP administration including data entry, reporting, and troubleshooting basic issues.
- Assist with generating financial reports and tracking project budgets in Epicor.
- Ensure data integrity and compliance with established processes when handling ERP-related tasks.
Support Department Invoicing
- Assist in preparing, reviewing, and submitting invoices for department projects.
- Ensure invoicing aligns with purchase order terms, including Incoterms, payment terms, and VAT requirements.
- Coordinate with internal and external stakeholders to resolve invoicing discrepancies or delays.
- Maintain accurate invoicing records for audit and reporting purposes.
General Administrative and Project Support
- Assist data collection and analysis to support project performance reporting.
- Prepare meeting materials, agendas, and minutes as needed.
You Bring:
- Education: Bachelor’s degree in business administration, Finance, Project Management, or a related field (or equivalent work experience).
- Experience: 1 - 3 years in a project support or administrative role.
Skills: Excellent interpersonal and communication skills; highly accurate; detail and deadline-oriented; advanced Microsoft Office skills, particularly Excel; basic understanding of project management principles and invoicing processes.
