About the role

We are looking for an Executive Assistant and Office Coordinator to support 3 of our Executives and assist in the day-to-day operations of our Moncton Facility.  This role is required to be on-site 5 days a week.

 

Responsibilities

              Executive Assistance

  • Provide end-to-end support for 3 executives.
  • Calendar Management: Strategically manage and prioritize schedules, including handling multiple time zones.
  • Meeting Coordination: Facilitate the execution of internal and client-facing meetings, ensuring a seamless experience for attendees.
  • Travel Coordination: Arrange international and domestic travel for client meetings and conferences.
  • Deadline Management: Proactively follow up on deadlines and commitments.
  • Expense Management: Independently coordinate and executive’s monthly expenses.

Office Administration

  • Manage incoming visitors and building access.
  • Coordinate office supplies.
  • Manage incoming and outgoing mail.
  • Coordinate facility tours with the necessary people.
  • Coordinate events such as facility celebrations, meetings with external stakeholders and holiday team member gift giveaways
  • Provide day-to-day administrative support services to facility management, including preparation of correspondence, reports and other miscellaneous administrative tasks as requested.
  • Prepare townhall presentations and communications to entire facility
  • Support for human resources administration including publication of internal communications media, opening of administrative files and other various administrative tasks upon request.

 

Experience And Skills

  • Professional Background: Minimum of 5 years of experience directly supporting executives in a medium-to-large sized organization.
  • Leadership & Project Management: Strong ability to manage conflicting priorities and deadlines in a fast-paced environment.
  • Problem-Solving: Proactive approach with excellent decision-making skills.
  • Communication: Professional verbal and written communication skills.
  • Organization: Exceptional organizational skills with keen attention to detail.
  • Software Knowledge: Proficiency in Office 365 and Concur
  • Professionalism: Team-oriented with a “Yes, and…” approach.
  • Comfortable dealing with all levels of the organization and the public
  • Ability to effectively learn and operate several different software platforms
  • Bilingualism considered an asset
