Administrative Support Supervisor

Details: Full time, Days, 37.50 hours per week, 9:00AM to 5:00PM, Monday to Friday with occasional weekends and evenings
Pay Scale: $26.60 - $30.05 per hour
Location: Kiwanis Place Lodge, 10330 120 street NW, Edmonton, AB T5K 2A6
Key Responsibilities:
- Lead and manage administrative support staff, ensuring effective communication and coordination within the team.
- Set clear expectations, provide regular feedback, and conduct performance reviews to maintain high standards of work.
- Foster a positive and productive work environment, encouraging professional development and teamwork.
- Identify inefficiencies and implement best practices in systems and processes to enhance workflow and team coordination.
- Manage communication flow and in-person inquiries, ensuring effective communication with clients, staff, and external partners.
- Oversee scheduling, appointment coordination, and event logistics.
- Supervise the drafting, preparation, and distribution of internal and external communications.
- Ensure timely delivery of updates and information to stakeholders.
- Manage petty cash, cash deposits, issuing receipts, and invoicing.
- Assist with budget tracking, expenditures, and maintaining financial records in collaboration with finance staff.
- Support the housing process, including client move-ins and move-outs.
- Ensure staff are assigned to support the planning and execution of community events, meetings, and resident programs.
- Oversee administrative support staff, providing guidance, training and performance feedback.
- Respond to emergencies and ensure all staff are prepared for emergency situations.
- Participate in team meetings and training sessions, contributing to the overall improvement of services.
- Ensure adherence to organizational policies and procedures and address issues promptly.
Experience/Education Preferences:
- Diploma in Business Administration, Office Management, or a related field. An Associate’s degree is an asset.
- Certified Administrative Professional Certificate is an asset.
- Experience leading teams, providing training, and conducting performance reviews.
- Proven ability to build and maintain positive relationships with residents, staff, and external partners.
- Strong experience with Microsoft Office or Google Workspace.
- Experience using systems like Yardi for managing client information and other administrative tasks.
- Basic experience in handling financial transactions, invoicing, and tracking expenses.
- Familiarity with scheduling and calendar management tools.
Other Requirements:
- Must have a vehicle and valid driver’s license and submit a copy of the driver’s license
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong customer service, organizational, communication, and interpersonal skills.
- High attention to detail with the ability to manage multiple tasks simultaneously.
