The Canadian Museum for Human Rights (CMHR) is a national museum dedicated to the evolution, celebration and future of human rights. It is the first national museum in Canada to be built outside the National Capital Region. Located in the heart of Canada in Winnipeg, Manitoba, the CMHR rises from the Prairie earth at The Forks, which has been a meeting place for over six thousand years.

About the role

 

The Canadian Museum for Human Rights (CMHR) is centered around the idea that respect and understanding of human rights can serve as a positive force for change in the world. The Administrative Coordinator will support our collective efforts to build a workplace culture that is inclusive, equitable, innovative, and focused on inspiring action.

 

Reporting to the Manager, Organizational Reporting and Compliance, the Administrative Coordinator supports effective organizational practices and processes in their department(s) by providing comprehensive administrative and coordination support services to the staff members and management team of the department(s) they are assigned to, thereby supporting the department’s delivery on their strategic and operational priorities.

 

This position performs clerical functions such as coordinating approvals, preparing correspondence, setting up meetings, coordinating schedules, amalgamating and compiling information for reports, using the financial management system to record and process related information, and scheduling meetings.

 

What you will do

 

  • Contributes to a culture that promotes respect, equity, inclusion and innovation, and models anti-racist and accountable behaviours.
  • Gathers, compiles and consolidates information/data into established reporting formats.
  • Provides administrative support/coordination for a variety of cross-functional special projects and participates in and contributes to CMHR administrative and coordination process improvement initiatives.
  • Prepares/edits correspondence, communications, presentations and other documents as requested. 
  • Serves as a reception and communication conduit for the staff and management teams and co-ordinates the flow of information.
  • Maintains filing and records.
  • Updates relevant internal systems and databases and processes financial information (e.g., expenses) via entry into the financial management system.
  • Schedules/arranges meetings and appointments, distributing meeting agendas; prepares and distributes minutes, makes boardroom and venue bookings.

 

What we’re looking for

 

  • High school diploma or equivalent and 3-4 years of administrative experience or an equivalent combination of education and experience.
  • Demonstrated experience supporting team members from various levels in the organization.
  • Commitment to human rights principles, including respect, equity, inclusion and dignity for all.
  • Proficiency with the Microsoft suite of products (Word, Excel, PowerPoint, Outlook) with particular aptitude for preparing and formatting correspondence, reports and documents; proficiency using online meeting tools.
  • Strong organization and time management skills, with the ability to multi-task.
  • Strong attention to detail.
  • Motivated self-starter.
  • Strong interpersonal and communication skills, both oral and written.
  • Ability to work both independently and as part of a team.

 

Desired Qualifications

 

  • Experience working with organizational policies, internal reports or databases
  • Ability to communicate proficiently in both official languages.
  • Experience serving senior-level management would be considered an asset.
  • Post-secondary education in office or business administration or a related field.

Other

  • Work involves dealing with tight deadlines in a fast-paced and changing environment.
  • May occasionally stoop, bend, kneel, crouch and reach (while filing); moves about the Museum for meetings and to distribute documents, etc.
