Design Services Coordinator
About the role

Reporting to the Director, Design and Digital Experience, the Design Services Coordinator supports effective organizational practices and processes by providing comprehensive administrative and coordination support services to the staff members and management team of the Design and Digital Experience department, thereby supporting the department’s delivery on their strategic and operational priorities.
The incumbent will be a strong and thoughtful communicator, critical thinker, and innovator who will bring a collaborative approach to their role.
What you will do
- Contributes to a culture that promotes respect, equity, inclusion and innovation, and models anti-racist and accountable behaviours.
- Develops and updates weekly Design and Digital Experience production schedule (including, but not limited to, web publishing, design/product deliverables, audio/video creation and capturing), balancing multiple projects at different stages for a variety of clients, determining workloads of creative staff, and recommending external service providers when necessary.
- Leads weekly Design and Digital Experience production meeting, tracking progress of tasks for assigned creatives, identifying risks and opportunities related to workload, schedule and deliverables.
- Liaises with various CMHR departments and external producers/vendors to identify and document project scope and requirements gathering for any given project.
- Working with CMHR staff and external producers, coordinates processes related to web publishing, design/product deliverables, audio/video creation and capturing, and accessibility production.
- Schedules/arranges meetings and appointments, makes meeting room and venue bookings, creates and shares agendas, captures feedback, takes notes, provides meeting minutes, and coordinates and organizes travel arrangements.
- Supports department with financial documentation such as purchase requisitions, purchase orders, RFQs and credit card purchases.
- Supports department with storage of video, artwork and branding assets.
- Ensures processes are documented, shared and filed.
What we’re looking for
- Completion of a diploma in a relevant discipline (film, advertising, project management, graphic design, interior design, exhibition design, experience design, mobile/web development, multimedia production) and 3 years working in a creative industry, such as film, advertising, graphic design, exhibition design, experience design, mobile/web development, multimedia production, or an equivalent combination of education and experience.
- Demonstrated experience supporting team members from various levels in the organization.
- Experience working in multidisciplinary project teams and with contractors, designers, producers, developers and writers.
- Commitment to human rights principles, including respect, equity, inclusion and dignity for all.
- Proficiency with the Microsoft suite of products (Teams, Word, Excel, PowerPoint, Outlook), Adobe Creative Cloud, project management tools and assorted onsite and cloud-based applications with aptitude for preparing and formatting correspondence, reports and documents; proficiency using online meeting tools.
- Strong verbal and written communication and interpersonal skills.
- Strong organization and time management skills, with the ability to prioritize.
- Strong attention to detail.
Desired Qualifications
- Ability to communicate proficiently in both official languages.
- Experience serving senior-level management would be considered an asset.
