The People Operations Coordinator plays a pivotal role within the People Operations team, supporting key HR functions and ensuring smooth and efficient people processes. This role is essential in driving operational excellence and enhancing the overall employee experience.
Main Responsibilities:
Onboarding:
- Supporting with checking references for new hires and executing the Employment Agreement for New Hires
- Assist and champion new employees through their pre-onboarding experience
- Coordinating the corporate onboarding programs for all new hires.
- Owning the onboarding welcome pack, ensuring stocks are sufficient.
- Process new hire documentation, entering data into systems, preparing approvals and employment agreements.
People Operations Administration:
- Maintains benefit programs; ensure new hires are informed about benefits, register new enrolments, process monthly billing and administer changes.
- Maintaining the employee records in the HRIS, ensuring all data and reporting are accurate.
- Ensure that all the employee file records are accurate and up to date.
- Owns Letter distribution
- Ensuring the monthly Organization Charts are up to date and shared in a timely manner.
- Assisting with weekly payroll administration.
- Own and administers the People Operations Email.
- Maintaining and updating the statutory holiday calendar.
- Conducting timely audits to ensure the accuracy of employee data in files and on the HRIS platform.
Training Administration Support and Employee Engagement:
- Manage internal employee engagement programs such as birthdays, photo of the month, special event gifts (newborn and wedding gifts)
- Assisting the People Development Specialist with scheduling corporate events
- Providing guidance and support to employees to related requests / concerns
- Updating the Training Tracker, and assist with scheduling internal learning programs
Other:
- Provides Executive Assistance to the CEO on Special Projects.
- Assists People Operations Team members with special projects.
You Bring:
- Post-secondary education in Human Resource or Business Administration
- 4 years’ experience; Experience working with remote workforces will be an asset
- Intermediate to Advanced MS Office skills especially with Word and Excel
- Experience using an ATS or HRIS is preferred.
- Ability to prioritize work and support multiple internal clients
- Excellent interpersonal and organizational skills
- High level of professionalism, integrity, discretion and judgment
- Strong attention to detail
